How charities confirm whether a donation was collected

This article explains how charities confirm whether an accepted donation was successfully collected, and what happens after that confirmation is submitted.

Use this feature after a donation is due to be picked up and your team needs to confirm the real outcome. This confirmation helps keep donation records accurate for both the charity and the donor.

What this feature is for

Collector confirmation lets a charity respond to a donation with one of two outcomes:

  • Collected — the donation was picked up successfully

  • Not collected — the donation was not picked up

This creates a clear post-collection status and supports more accurate reporting and follow-up.

When to use it

Use collector confirmation when:

  • Your charity accepted a donation in Foodiverse

  • The donation reached its expected collection point

  • Your team now needs to confirm what actually happened

Collector confirmation is intended for standard charity collection flows. It is separate from older delegated collector or third-party collection processes.

If your organisation also completes donation feedback, collector confirmation and feedback may work together in the same journey depending on the donation and user flow.

Before you start

  • Make sure you are signed in to the correct charity account

  • Check that the donation has already been accepted

  • Confirm that collection time has passed or that the donation is ready for outcome confirmation

  • Use the charity dashboard to find the donation in the relevant collection list

If you cannot see the confirmation option, the donation may not yet be eligible for confirmation, may already have been confirmed, or may follow a different operational flow.

How to confirm a donation

  1. Open Foodiverse and go to your charity dashboard.

  2. Open the To be collected section.

  3. Select the donation you want to update.

  4. Choose the confirmation action when prompted.

  5. Select either Collected or Not collected.

  6. Review your answer carefully.

  7. Submit the confirmation.

After submission, the system records your answer against that donation.

What each option means

The donation was successfully picked up or received by the charity.

Use this when collection happened as expected.

Not collected

The donation was not collected by the charity.

Use this when the collection did not happen.

What happens next

After you submit a confirmation:

  • The donation status is updated with your recorded outcome

  • You may be guided into the feedback flow, depending on the donation journey

  • The confirmation can be used in reporting and donation history views

  • Other users in your charity may also be able to see the recorded outcome

Submit the confirmation as soon as possible after the collection outcome is known. This helps avoid confusion and keeps records accurate.

Where you can see the result later

Once submitted, the outcome may appear in places such as:

  • Recent Offers

  • Donation history

  • Feedback-related views

The exact location may vary depending on your account permissions and the product area you are using.

Editing a confirmation

If editing is available for your journey, it is typically handled through the feedback flow rather than from the original collection list.

If you need to correct an answer:

  1. Open the donation from the most relevant history or feedback area.

  2. Check whether an edit option is available.

  3. Update the answer and resubmit if permitted.

If no edit option is available, follow your usual support process so the issue can be reviewed.

Common reasons you may not see the confirmation action

  • The donation has not yet reached the point where confirmation is expected

  • The donation has already been confirmed

  • The donation belongs to a different operational flow

  • Your account does not have the required access

  • The donation was handled outside the in-app collection journey

Troubleshooting

I accepted a donation but cannot confirm it

Check whether the donation is still awaiting collection, has already been confirmed, or is part of a different process. If the action still does not appear, contact support or your internal Foodiverse contact.

I selected the wrong outcome

Look for an edit path through the feedback journey or donation history view. If editing is not available, use your normal support route to request help.

The donation disappeared from To be collected

Once the journey moves forward, the donation may no longer appear in the active collection list. Check recent or historical donation views to find the updated record.

Does this replace donation feedback?

No. Collector confirmation records whether the donation was collected. Feedback may still be collected separately as part of the wider donation journey.

Good practice

  • Confirm outcomes promptly after pickup time

  • Make sure staff entering the answer know what actually happened

  • Use Not collected only when the donation genuinely was not collected

  • Keep internal processes aligned so duplicate or conflicting updates are avoided

The delegated collector process is a separate feature and does not describe this charity confirmation flow.
