Early Acceptance

Early Acceptance allows eligible charities to respond to scheduled donation offers before the donor posts them. Charities can pre-accept or pre-decline offers in advance, helping them plan collections and avoid missing suitable donations. If your plans change after you pre-accept, you can release the collection before the donor posts the donation.

Only Primary charities are eligible. Early Acceptance does not link to the waitlist or Foodboard. Donor organisations must enable the feature for the relevant branches; the charity-level Early Accept toggle is no longer required.

📘 Set - up

Early Acceptance is now managed at donor level. Donor organisations must enable the setting for the relevant branches; the charity-level Early Accept toggle is no longer required.

1. Log in to the donor account.

2. Go to My Organisation > Manage Organisation > Organisation Settings.

3. Donor organisations should toggle Early Acceptance ON to enable it for the relevant branches.

4. Early Acceptance is managed at donor level; the charity-level Early Accept toggle is no longer required.

5. For a foodbank, enabling the setting applies it only to the foodbank’s own branches.

📘 Early accepting

Eligible charities receive Early Accept notifications at 12 noon. A maximum of one email and one push notification is sent per user, even when multiple offers are available. The email lists all eligible offers, so you can see which collections need your attention. The push notification, Early Accept Offers Available, takes you straight to the Early Accept page.

On the charity dashboard, available offers appear in the Early Accept Offers area. Offers waiting for your response are under Available. Offers you have already pre-accepted, pre-declined or released are under Responded. The collection date is now shown alongside the collection window time on each offer card.

Select offers individually or use Select all, then choose Pre-Accept or Pre-Decline. Offers awaiting a response are marked Awaiting.

After an offer is pre-accepted, its status changes to pre-accepted, and it moves to Responded. When the donor posts the donation, the offer is automatically accepted and appears on the charity dashboard under To be collected. You don't need to accept it again.

If you Pre-Decline

Pre-Decline tells Foodiverse you don't plan to collect the offer. The offer moves to Responded and you can't change it afterwards. When the donation is posted, it goes through the normal process for other charities.

If a donor branch is temporarily closed

If a donor branch is temporarily closed on the collection day, its offer remains visible with a Branch Closed status. Pre-Accept and Pre-Decline are disabled and helper text explains why. If the closure is removed while the offer remains eligible, the actions become available again.

Charities can release a pre-accepted donation before the donor posts it.

1. Open the Responded tab and find the pre-accepted collection.

2. Select Release Collection.

3. Confirm when Foodiverse asks. You can't undo this.

• Release is permanent and requires confirmation. Once released, the donation returns to the normal allocation process, such as the waitlist or Foodboard.

• The same charity cannot claim or Early Accept that donation again, and Release is unavailable after the donation has been posted.

• The offer stays under Responded and shows as Released.

If the donation has already been posted

You can only respond before the donor posts the donation. If the donor posts while you are looking at an offer, Foodiverse stops your action, tells you the donation has been posted, and updates the page. This doesn't mean Early Acceptance has failed. Once a donation is posted, respond to it in the usual way.

Notifications after you respond

If you have already pre-accepted or pre-declined an offer, you won't get the usual offer notification when the donor posts that donation. Your decision has already been recorded.

Good to know

• Early Acceptance doesn't guarantee a donation will be posted. A donor can still make changes before posting, so check Foodiverse before you travel to collect.

• You can only release a pre-accepted collection before it is posted, and release can't be undone.
