Offers Timestamps

This page lists the different timestamps that can appear for an offer in the Manage Donations and My Donations screen in Foodiverse and a definition of each timestamp and in some cases a note of what the timestamp does not mean.

Useful information for food banks, donor branches and donor organisations.

Available At

This is when the offer will become available if it has not already been accepted.

For a Planned donation the Available At timestamp for the primary charity will match the start time of the Notification Window.

For an UnPlanned donation the Available At timestamp will match the Donation Time.

For a Waitlist charity the Available At timestamp is the time the offer may become available to the Waitlist.

The Available At timestamp is an indicator of when the Foodiverse system will make the offer available to be accepted.

For example, if a primary charity and a waitlist charity are both scheduled for a donation, the Manage Donations page will indicate when these charities are going to receive the donation offer.

It is informing the food bank user or the donor user of when their scheduled charities are due to receive the donation offer.

If the primary charity accepts the offer before the donation becomes Available to the Waitlist charity, the system will still show the intended Available At timestamp to the food bank or donor user.

That does not mean they received a notification, just that this was the intended time the notification was due to be sent if it was not accepted in advance.

The Available At timestamp will be greyed out once the donation process is completed to make it clear that the relevant charity did not get a notification about the offer at that time

Available At Examples

  1. An On-Time Planned Donation

This donation is On-time (within the Notification window) and is posted at 16:54, so the Available At for the Primary is 16:54. The offer is Pending for the Primary so Foodiverse displays an Available At time of 17:24 for the Waitlist, 30 minutes after it is offered to the Primary. This indicates when the offer may be available to the Waitlist if it is not Accepted by the Primary. (Note the Offer Status for the Waitlist is Not Offered Yet.)

2. An On-Time Planned Donation - Primary Not Responded

The donation is posted on-time (within the Notification window) at 11:39 and Available At for the Primary matches the Donation time. The Primary does not respond within the 30 minutes exclusive time and the offer is made available to the Waitlist at 12:09. (In this example the Waitlist did not respond and the offer Expired)

3. Waitlist - Accepted by Other (Primary)

This On-time donation was posted at 17:06 and Available At for the Primary matches the donation time, 17:06. The offer was Accepted by the Primary at 17:08. The Available At for the Waitlist shows as 17:36 but the Offer Status is Accepted by Other. The Available At timestamp only reflects when the offer would have been offered to the Waitlist had it not been Accepted.

4. Waitlist - Accepted by Other (Waitlist)

This On-time donation was posted at 17:15 so the Available At timestamp for the Primary matches the Donation time. The Primary Rejected the offer at 17:18 and it was immediately offered to the Waitlist, so the Available At timestamp is 17:18 for both charities on the Waitlist. The Malahide charity Accepts the offer at 17:27. The Available At timestamp for the other Waitlist charity, Kimmage, remains at 17:18 and the Offer Status is Accepted by Other.

5. An Early planned donation.

The Donation is posted at 10:49 and the Notification window starts at 12:00. So, Available At for the Primary matches the Notification Start time, 12:00. The Primary Rejects the offer at 12:54 and is immediately offered to the Waitlist so Available At for the Waitlist is 12:54.

6. A Late Planned Donation.

This donation was posted Late at 10:53 after the Notification window End time of 10:30. The Available At timestamp matches the donation time of 10:53 for the Primary. The Primary Rejected the offer at 11:17:20 and the donation is offered to the Waitlist charity immediately and the Available At timestamp reflects this, 11:17:20.

7. An Unplanned Donation - Accepted by Other

The donation was posted at 11:26. The Available At timestamp to the Primary charity matches the Start of the Notification window, 11:26. The Available At timestamps for the Waitlist charities is set to 30 minutes after the Primary Available At, 11:56. The Primary accepts the offer at 11:32. The Available At timestamp remains at 11:56 for the Waitlist charities as this is the time the offer would have been made available to them had it not been accepted by the Primary. In an UnPlanned donation the start of the Notification window is set to the current time.

Accepted At Example

  1. The Accepted At timestamp is the exact time that the Offer was Accepted.

2. In a multi-collector scenario the Accepted At timestamps are when each offer was Accepted.

Rejected At Example

  1. The Rejected At timestamp is the exact time that the Offer was Rejected.

Transferred At Example

  1. The Accepted At timestamp is the exact time that the Offer was Transferred.

Tesco Sunday Donation Flow:

Due to stores typically closing earlier, the current setup we have with Tesco on Sundays is that the offer is meant to go out to the primary and waitlist orgs at the exact same time, bypassing the 30 minute priority window for the primary charity.

Logic: When the accept by window is close to the end of the collection window in that case it will go to both the charities (i.e Primary & Waitlist) at once bypassing the 30 minute VIP window (see screenshot below). If for example, accept by time is 21:29 and collection window is 20:30 - 21:30 where accept by time is 1 min to the end of collection window.
