How to use Manage Availability in Foodiverse

This article is for Charity Org Admins managing their own charity availability and FoodNet Admins managing availability on behalf of a charity.

Manage Availability uses the word Pause instead of Close. If you previously used Manage Closed Dates, the behaviour is now presented through this updated flow.


What Manage Availability does

You can use Manage Availability when a charity is temporarily unable to collect donations for a period of time, for example during holidays, volunteer shortages, seasonal closures, or short-term operational disruption.

  • Pause all slots pauses the whole charity branch for the selected dates.

  • Pause selected slots pauses only specific recurring Primary slots for the selected dates.

When using selected-slot pauses, the charity stays active on other slots and keeps its permanent schedule assignment.


Before you start

  • You must be signed in with the right permissions.

  • Charity Org Admins can manage their own charity availability.

  • FoodNet Admins can manage availability for member charities from the FoodNet side.

  • If you manage more than one branch, always double-check you are editing the correct branch before saving.

Pausing selected slots only applies to recurring slots where the charity is the Primary charity. It does not apply to waitlist slots.


How to open Manage Availability

If you are a Charity Org Admin

  1. Log in to Foodiverse.

  2. Open the charity Schedule page.

  3. Click Manage Availability.

If you are a FoodNet Admin

  1. Log in to Foodiverse.

  2. Go to Members & Schedules.

  3. Open the relevant charity branch.

  4. Click Manage Availability.

When the page opens, you can review upcoming pauses and past pauses in one place.


Pause all slots

Use this option when the charity branch is completely unavailable and should not receive any offers during the selected dates.

  1. Open Manage Availability.

  2. Click Add dates.

  3. Select Pause all slots.

  4. Choose the start date and end date.

  5. Review the impact summary.

  6. Click Save.

Choose Pause all slots when the branch is fully unavailable. During these dates, the charity will not receive Primary, Waitlist, or Foodboard offers.

After saving:

  • The pause appears in upcoming activity.

  • Once the dates have passed, it moves to past pauses.

  • Past pauses are read-only.


Pause selected slots

Use this option when the charity only needs to pause some recurring primary slots, but should remain active for other collection opportunities.

  1. Open Manage Availability.

  2. Click Add dates.

  3. Select Pause selected slots.

  4. If needed, confirm or select the correct charity branch.

  5. Filter by weekday to find the relevant recurring slots.

  6. Select one or more slots from the list.

  7. Choose the start date and end date.

  8. Review the selected slots and dates.

  9. Click Save.

On the review step, you should see:

  • The branch being updated

  • The selected weekdays

  • The pause date range

  • The number of selected slots

  • The list of selected slots

When selected slots are paused, Foodiverse skips the charity only for those specific Primary slots during the selected dates. The charity can still receive offers from other active slots.

What happens after you save

For all-slot pauses

  • The charity will not receive Primary, Waitlist, or Foodboard offers during the selected dates.

  • When the pause ends, normal eligibility resumes automatically.

For selected-slot pauses

  • The charity remains assigned as Primary on those slots.

  • Foodiverse skips the charity for those paused slots during the selected dates.

  • The charity continues receiving offers from other active slots.

  • When the pause ends, the charity becomes eligible again automatically.


Good Practice

  • Check the branch name carefully before saving.

  • Use Pause all slots only when the whole branch is unavailable.

  • Use Pause selected slots when disruption affects only certain recurring collections.

  • Review the impact summary before confirming.

  • If you are a FoodNet Admin working on behalf of a charity, make sure the charity understands what has been paused and for how long.

If you are looking for older wording such as Manage Closed Dates or temporarily closed, use Manage Availability and temporarily paused instead.
